Survey response rate formula

Response rate is the share of eligible invited people who completed the survey:

Response rate = completed valid responses ÷ unique eligible invitations × 100

If 250 people complete a survey from 1,000 eligible unique invitations, the response rate is 25%.

Use completed responses when the metric is completion rate. If you want to track partial starts as well, report that as a separate start or participation metric rather than silently changing the numerator.

Choose the denominator carefully

The denominator should represent unique, eligible people who had a real opportunity to respond. Remove known delivery failures and duplicates according to a documented rule. Do not count repeat reminders as new invitations to the same person.

For a website popup shown to an unknown number of people, you may need a different metric such as completions divided by unique eligible impressions. Label it clearly so readers do not mistake it for an invitation-based response rate.

Why there is no universal “good” response rate

Response rates vary with audience relationship, channel, timing, survey topic, length, incentive, mobile usability, and whether the request follows a specific transaction. A benchmark from an employee census, academic probability survey, or post-purchase one-click question is not automatically comparable with an ecommerce email survey.

Build your own useful baseline by keeping the following stable:

  • survey type and customer moment
  • eligible audience and market
  • channel and invitation wording
  • fieldwork period and reminder policy
  • survey length and incentive
  • numerator and denominator definitions

Then investigate changes in both response rate and sample composition.

Improve participation without damaging data quality

  1. Ask at a moment when the customer can answer from recent experience.
  2. Explain what the feedback will be used for.
  3. Keep every question relevant and show realistic completion time.
  4. Make the first interaction fast on mobile.
  5. Send a limited reminder only to people who have not completed.
  6. Test incentives carefully; they can change who chooses to participate.
  7. Monitor delivery, starts, completions, drop-off, and duplicate responses separately.
